Indian Conference Visa

Conference Visa is a single entry visa issued to applicants who wish to attend International Conferences, Seminars or Workshops in India.

Important Notice: 
Once the visa is issued by the Embassy or Consulate of India, the passport with the visa will be sent back directly to the applicant’s address listed on the visa application form so make sure that the address is current.

REQUIREMENTS:

  • Valid and signed U. S. Passport (valid at least 6 months beyond the date of entry; with at least two adjacent blank visa pages)

IMPORTANT RULES TO FOLLOW WHEN COMPLETING THE VISA APPLICATION FORM ONLINE:

  1. We strongly recommend you to download & study the Sample Online Visa Application Form before filling the actual Online Visa Application Form
  2. The Application Form should be printed on 2 separate sheet of paper, no front to back print out will be accepted.
    Note: Please make sure that the Application Form prints completely with the port of entry and exit completely printed at the bottom as well as the bar code.
  3. Make Sure you have filled the Application Form correctly otherwise it will not be accepted – Caution: Errors on the visa application form CANNOT be fixed, an error of any type WILL result in the application being rejected by the Indian Consulate.  Note: The address for the reference in India must be complete with the phone number, city, sector, street, and six digit pin code. If staying at a hotel include the complete address and phone number of the hotel as it appears on their website.
  4. DO NOT USE SPECIAL CHARACTERS i.e. ,$#(&)etc and use SPACE BAR instead
  5. On the “Period of Visas” section – please choose 3 months.  Under Number of Entries – please choose “Single”
  6. Applicants are required to sign the visa application in two places. On page 1, the applicant must sign COMPLETELY inside the box located under the photo area, if any part of the signature is outside of the box the application WILL be rejected. On page 2, the applicant must sign on the dotted line at the bottom of the page.
  7. From the “Indian Mission” drop down list please select your correct consular district:

For residents of Bermuda, Delaware, District of Columbia, Kentucky, Maryland, North Carolina, Virginia and West Virginia, please choose “USA-Washington” on the Indian Mission drop down.

For residents of Connecticut, Maine, Massachusetts, New Hampshire, New Jersey, New York, Ohio, Pennsylvania, Rhode Island and Vermont., please choose “USA-New York” on the Indian Mission drop down.

For residents of Arkansas, Kansas, Louisiana, Oklahoma, Texas, New Mexico, Colorado and Nebraska, please choose “USA-Houston” on the Indian Mission drop down.

For residents of Alaska, Arizona, California, Guam, Hawaii, Idaho, Montana, Nevada, Oregon, Utah, Washington and Wyoming,  please choose “USA-San Francisco” on the Indian Mission drop down.

For residents of Illinois, Indiana, Iowa, Michigan, Minnesota, Missouri, North Dakota, South Dakota and Wisconsin, please choose “USA-Chicago” on the Indian Mission drop down.

For residents of Alabama, Florida, Georgia, Mississippi, Puerto Rico, South Carolina, Tennessee and Virgin Islands, please choose “USA-Atlanta” on the Indian Mission drop down.

  • Two Passport Type Photographs – IMPORTANT: Please CLICK HERE for the photo specification – the embassy is very strict with photo requirements.  (Please NO eyeglasses)
  • Additional Particulars Form – MUST be completed and signed by the applicant (choose appropriate form for your state)
    Additional Particulars Form – New York Jurisdiction – Use this form for the following states: Connecticut, Maine, Massachusetts, New Hampshire, New Jersey, New York, Ohio, Pennsylvania, Rhode Island and Vermont.
    Additional Particulars Form – San Francisco Jurisdiction – Use this form for the following states: Alaska, Arizona, California, Guam, Hawaii, Idaho, Montana, Nevada, Oregon, Utah, Washington and Wyoming
    Additional Particulars Form – All Other States – Use this form for all states not included listed under New York and San Francisco jurisdiction listed below
  • Proof of residential address in the United States:  Please submit a clear copy of applicant’s Driver’s License OR Utility Bill (NOTE: The applicant’s name MUST be on the proof of residency).  Address on the document cannot include a P.O Box number, and Must Match present and permanent address on the visa application form. The following items are NOT accepted: cell phone bill, credit card statement, bank statement or lease.
  • Clearance from Ministry of External Affairs / Ministry of Home Affairs in India. The organizers usually arrange for this in advance. Please contact your conference organizer for your request. (Original invitation letter is required)
    • No clearance certificate is required if the Conference/seminar / workshop is being organized in India by a Ministry or Department of the Government of India, State Governments, Public Sector Undertakings, Central Educational Institutions, Public Funded University or an organization owned and controlled by the Government of India or State Government, no further clearances are required.
    • If the Conference/Seminar/workshop is organized by a PRIVATE ENTITY, then a CONFERENCE clearance certificate from Ministry of Home Affairs and Ministry of External Affairs is required.
  • Business letter written on your company’s letterhead addressed to the Embassy of India. This letter should indicate the applicant’s name, position in the company, nature of business to be conducted in India, name and address of contact in India, length of stay and the number of entries requested.  It should also state that the company would be financially responsible for the applicant’s living expenses including roundtrip transportation, and should be signed by someone other than the applicant. (NOTE:  Please indicate the visa validity you are requiring – example: 6 months, 1 year, 5 years or 10 years)
  • Checklist Form (not required, for reference only)
  • Disclaimer Form – MUST be completed and signed by the applicant
  • Travel the World Visas Service Order Form

NOTE:  If at any time during the process you would like to close the application and retrieve your passport, you will need the Passport Withdrawal Order Form

Conference Visa may be issued to delegates if they are able to produce an invitation to a conference / seminar / workshop being organized in India by a:

  • Ministry or Department of Government of India
  • State Governments
  • Public Sector Undertakings
  • Central Educational Institutions
  • Public Funded University
  • An organization owned and controlled by the Government of India or State Government
  • UN and its specialized agencies
  • Reputed NGOs
  • Private Companies
